  1. General Information

Kilcully Campsite CLG (“the Campsite”) is owned and operated by a voluntary committee for the benefit of Scouting, Guiding, youth, community and educational organisations. By booking or using the facilities, all groups and individuals agree to abide by these Terms and Conditions.

  1. Eligibility to Book

Kilcully Campsite is available for use by:

  • Scout and Guide groups (all recognised associations)
  • Youth organisations including community and sporting groups.
  • Educational institutions (schools, colleges, youth programmes)

The Campsite is not available for general public hire or for private family events.

  1. Booking Process
  • All bookings must be made through the official website: www.kilcully.com.
  • Bookings and enquiries will be confirmed by email from bookings@kilcully.com.
  • Bookings are not considered confirmed until a deposit has been received and a confirmation email has been issued.
  • Telephone bookings are not available.
  1. Deposits and Payments
  • Scout and Guide Groups: 20% non-refundable deposit required at time of booking.
  • Non-Scout/Guide Youth or School Groups: 30% non-refundable deposit required.
  • The balance must be paid in full during your stay

  1. Cancellations and Refunds
  • Deposits are non-refundable.
  • Kilcully Campsite reserves the right to cancel bookings due to unforeseen circumstances (e.g. health & safety, weather damage, maintenance). In such cases, a full refund will be issued.
  1. Conduct and Behaviour

All visitors are expected to uphold the values of Scouting and Guiding while on site. The following rules apply at all times:

  • No alcohol, drugs, or persons under the influence are permitted on site.
  • Smoking is allowed only in designated areas.
  • Quiet hours apply from 11:00pm to 7:00am — please respect neighbouring campers and local residents.
  • Dogs are welcome but must be kept on a lead at all times and cleaned up after immediately.
  • Groups are responsible for the behaviour of their members and must ensure appropriate adult supervision.

Failure to comply with these conditions may result in immediate removal from the site without refund.

  1. Facilities and Use

Kilcully Campsite provides a range of facilities for hire, including:

  • Dormitory accommodation with kitchen and dining areas
  • Campers’ kitchens
  • Conference/training rooms and meeting rooms
  • Toilets and shower blocks
  • Wet weather shelter (see below)

All facilities must be used responsibly and left clean and tidy after use.

  1. Wet Weather Shelter

The large wet weather shelter is available to all groups on site at no additional cost.

  • It must be kept available for shared use.
  • Priority is to be given to camping groups in the event of poor weather.
  • Groups must tidy up after use and respect shared access.
  1. Health, Safety & Risk
  • Groups are responsible for their own risk assessments and for ensuring suitable adult-to-youth ratios.
  • Open fires are permitted only in designated areas and must never be left unattended.
  • The Campsite committee accepts no liability for loss or damage to personal property.
  • First aid is the responsibility of each visiting group.
  • Any accidents or incidents must be reported to the duty warden or committee representative immediately.
  1. Arrival and Departure
  • Check-in and check-out times must be arranged in advance via email.
  • On departure, all facilities and campsites must be left clean, with all rubbish removed or disposed of in designated bins.
  • Damage or breakages must be reported immediately and may incur a repair/replacement charge.
  1. Data Protection

Personal data collected during the booking process is used solely for managing bookings, safety records, and communications related to your stay.
Data is stored securely and will not be shared with third parties except where required by law.

  1. Liability

Kilcully Campsite CLG, its committee members, and volunteers accept no liability for injury, loss, or damage sustained on site except where caused by proven negligence.
All groups using the site do so at their own risk and must carry appropriate insurance coverage for their activities.

  1. Amendments

Kilcully Campsite CLG reserves the right to amend these Terms & Conditions at any time. The version published on the website at the time of booking shall apply.
